Galas & Benefit Dinners for Conservation & Wildlife Organizations

How to fill a banquet room with auction experiences that fit a crowd that bids on Bourbon Trail, fishing, golf, and adventure trips in the American West.

Benefit gala with guests and a stage program

A trip to the Bourbon Trail, a guided fishing weekend, a golf event, or an Italy getaway. These are what sell for conservation and wildlife crowds. The room knows what it likes and has a bidding tradition that makes the auction a sport. Adding adventure-based trips in the American West gives them something they already talk about. The key is matching each experience to your ticket price and the room. When a package fits, the bids come fast and high.

Your group is different because the tradition is competitive. These rooms bid to win, not just to give. For groups like Coastal Conservation Association or Billfish Conservation Project, that means you can sell the same package more than once. When bidding is hot, offer it to the second-place bidder at the same price and double your take. Nothing is owed on a package that does not sell, so you stock what they want and let the room decide.

You pay nothing upfront. Browse over 140 experiences, reserve what you like, and get the marketing materials. You only pay for an experience if it sells, keep 100% over the cost, and can sell experiences multiple times if the bidding gets hot. A recommended starting bid is 15 to 20% above cost, so profit begins with the first raise. If an item does not sell, you owe nothing for that experience. Cost depends on what you pick and how many you offer, but starting low is easy and adding last-minute items costs nothing.

You pick experiences that fit your room. You get a one-page PDF display per item with photos and details, plus a marketing email to help promote them. On event night, you run the auction your way. Afterward, you send the winning donor details and the Travel Team books the trip. Giveback XP handles the travel for winners and will send more than 3,000 donors on experiences in 2026. Donors have up to two years to travel for most trips, or until the event date for things like the Kentucky Derby.

A banquet where the auction moves fast, the room bids hard on trips it wants, and your organization keeps the profit. You add what fits, pay nothing for what does not sell, and send winners off with an experience they will talk about for years.
