Youth Sports & Booster Clubs · Banquets & Award Dinners

How much can a silent auction at a team banquet actually raise?

If you run a banquet for a Youth Sports & Booster Club, here’s what a silent auction can raise and why a few great items beat a room full of baskets.

Sound familiar?Your booster club board is planning the end-of-season banquet. You’re already handling food, awards, and a room full of families. Someone suggested a silent auction, but nobody can say how much it might actually bring in. You need a real number before you ask the same volunteers to do one more thing.

Youth sports and booster club banquets are parent-led events in smaller rooms with tight schedules. The season calendar dictates the date, and the same parents who coach, fundraise all year, and organize the banquet are the ones who would run the auction. Adding a silent auction feels like a big ask. But the question isn’t whether it can work; it’s how to make it work without burning out the volunteers.

A silent auction at a booster banquet doesn’t need a long list of items. Plan on one experience package per seven guests. The recommended starting bid is 15 to 20 percent above the club’s cost, so you make money from the first bid. The club pays nothing for any package that doesn’t sell. You only pay for an experience if it sells, keep 100% over the cost, and can sell experiences multiple times if the bidding gets hot. You are not too late: items can be added the same day as your event.

This week, pick three to five experiences that fit your crowd. Golf trips, college football packages, and regional getaways sell well with booster club families. Call Giveback XP and reserve them for free. They’ll send you a one-page display sheet for each item with photos and details, plus a marketing email with tips. You don’t pay anything upfront and you only owe for what sells.

By banquet night, you’ll have a few high-interest packages displayed on a small table, each with a clear starting bid. Bidding closes before dessert, the winners are announced with the awards, and your treasurer writes a check only for the items that sold. The auction added real dollars to the club without adding a pile of leftover baskets or volunteer hours you didn’t have.
